Questions & answers about working with Tenera

How to keep records, subcontractors and project processes under control
What is Tenera?
Tenera is a digital platform for construction companies to manage certificates, certificates and subcontractors. It enables automated processes, transparent communication and legally compliant documentation - specially tailored to the requirements of the construction industry.
Who is Tenera suitable for?
Our solution is aimed at general contractors as well as all construction companies that regularly work with subcontractors and need to manage their documentation and certificates - e.g. purchasing departments or site managers.
What distinguishes Tenera from Excel lists or e-mail management?
Tenera automates reminders, provides a central overview of all proofs and reduces sources of error through clearly defined workflows - without any manual list maintenance.
This minimizes the risk of fines or liability that can arise from missing or expired proofs from subcontractors.

What document types does Tenera support?
Tenera supports all common certificate types in the construction industry - such as the A1 certificate, exemption certificate or clearance certificate. If required, you can also create your own certificate types and manage them individually.
Can Tenera be integrated into existing systems?
Yes - Tenera can be connected to existing ERP, project management or DMS systems via our API.
Does Tenera offer more than just certificate management?
Yes - in addition to certificate management, Tenera also offers a project management module that has been specially developed for construction practice. This enables general contractors to structure their projects and create and manage orders.
How does Tenera help with risk assessment and follow-up?
In the project management module, missing or expired certificates can be automatically identified at order level and the associated risk assessed. In addition, the integrated supplement management enables clients to record, track and document all supplements for their projects centrally.
Which certificates are particularly important in construction?
The most important proofs for subcontractors are:
- A1 certificate (social security in home country)
- exemption certificate (avoidance of 15% construction withholding tax)
- clearance certificate from the tax office - public liability insurance
What happens if certificates are missing or have expired?
Missing or invalid certificates can lead to additional payments, fines of up to €30,000, assumption of liability or even construction stoppages.
Do subcontractors have to upload their documents themselves?
Yes - subcontractors automatically receive an upload link from Tenera and are reminded to upload missing or soon to be invalid proofs; alternatively, proofs can also be uploaded manually by the purchasing department, e.g. if documents are received by other means (e-mail, post, etc.).
How long are certificates valid for?
This depends on the type of document. Many documents are valid for 6 to 12 months. Tenera automatically reminds you of upcoming deadlines.
Are there legal requirements for certification documentation?
Yes - e.g. in accordance with § 48 EStG (construction withholding tax) and § 28e SGB IV (social security certificates). Missing documentation can have legal and financial consequences.
